How to review what clients have submitted, accept or reject items, and document non-response.
How do I know when a client has submitted something?
The case detail page updates in real time. Each item shows its current status: Not requested, Requested, Submitted, Accepted, Rejected, or No response. When a client submits, the item moves to Submitted. You can also watch for in-app notifications.
How do I review a submitted document?
On the case detail page, find the item in Submitted status. Click "Review" to open the submission. For document uploads, a download link opens the file via a short-lived signed URL from the private storage bucket. For form fills, the submitted answers are shown inline.
How do I accept a submission?
Click "Accept" on the item. The item moves to Accepted status. An acceptance event is logged to the event chain with a timestamp. If all items are accepted, the case moves to Complete and reminders stop.
How do I reject a submission?
Click "Reject" and enter a reason. The reason is shown to the client on their checklist so they know what to re-submit. A rejection event is logged with the timestamp and reason. The client can re-upload or re-submit; the new submission creates a new chain entry.
What is a 'no response' event?
If a deadline passes and the client has not submitted an item, you can log a no-response manually from the item's action menu. This creates a chain entry explicitly documenting that the client had ample opportunity and did not respond. It is one of the most important fault-attribution events for chargeback defense.
Does the review action log to the chain?
Accepting, rejecting, and logging no-response all create event chain entries. Viewing a submission does not create a chain entry.
Can I undo an acceptance?
No. The event log is append-only — accepted items cannot be unaccepted. This is intentional: the record is meant to be immutable. If you accepted in error, contact us and we can advise on the correct workflow for your situation.
